I’m applying for a job/military, how do I get my Transcript?

Please see your counselor who will mail an official copy out for you.

I’m applying to college(s), how do I get my Transcript?

Add the college(s) in Naviance under “I’m Applying To” in the Colleges tab. You will need to indicate how you are applying – using Common App or directly to the college – along with the application deadline (Naviance will have the options).

All seniors are given a copy of their transcript for personal use in September. A copy is also mailed home in September with the courses required to graduate highlighted.

Teacher Letters

Not all colleges require Teacher Letters of Recommendation. Most colleges requiring a teacher letter of recommendation will only accept 1 or 2. DO NOT ask for additional ones as they cannot be submitted through Naviance once you reach a college’s maximum letters accepted! It is your responsibility to know if a college needs or will accept a teacher letter and how may.

How do I get a letter for a job?

You just need to talk with the teacher. Once he/she agrees to write you a letter you will need to give the teacher the address to send the letter. You will not see the letter. The teacher will need to send it directly to the employer.

How do I get a letter for college(s)?

The first step is to talk with the teacher. Once he/she agrees to write you a letter you will need to do the following in Naviance:

  1. If you are using Common App you must put New Hartford in the education section AND complete the FERPA in the college area.
  2. Select “Teacher Recommendations” under the Colleges tab
  3. Select “Add Request”
  4. Select the teacher (you can only select 1 at a time), which colleges you would like they to submit a letter for, add your personal note (at least a “thank you”), and then submit the request.

You will need to have colleges in “Colleges I’m applying to” to request Teacher Recommendations. If you add colleges after your initial request, you will also have to complete a request for the college(s) added.

Counselor Letters

Not all colleges require Counselor Letters of Recommendation. It is your responsibility to let your counselor know if you need one.

Let your Counselor know you need one and let him/her know what it is for – College(s), Scholarship(s), or employment.

Give your Counselor a Completed the Senior Activity packet: (This is also in helping to determine Senior Awards in the spring). Your counselor can not complete a letter of recommendation without the completed packet. The packet needs to be given to your counselor at least 2-weeks before the deadline. It is available in the Document section of Naviance.

Counselors will submit most letters to colleges through Naviance. If a college doesn’t accept letters electronically it will be mailed.

Helpful Information for Completing Applications

  • Use a PERSONAL EMAIL account. DO NOT USE your school email! Colleges/ employers cannot email you to let you know they received your application, are missing things, or that you have been accepted/hired!

  • GPA: Use weighted GPA, unless it asks for unweighted; You can find that on your transcript and in Naviance under Account in About Me (top right)
  • Rank: New Hartford does NOT rank students
  • Courses: List courses and credits earned — remember students in yearlong classes earn credit each semester and MUST list the course and credit for each semester. Ex: AP Eng Lit (fall) 0.5; AP Eng Lit (spr) 0.5. Do NOT include study hall or ADP!
  • FERPA: is a privacy statement that you must complete. All applications have this. The Counselors will explain what it means and have you complete a paper one that will be similar to the electronic FERPAs.

For College Applications, we DO NOT need school report forms from you!! We just need you to correctly indicate in Naviance how you have applied to the college
Even if it says to print them out. We use Naviance!

Other Tips

  • ALL Colleges (Common app or not) MUST be listed in Naviance in order for a transcript to be submitted to the college.
  • If you are applying ONLY to SUNY schools, it is highly recommended that you use the SUNY application that can be found at www.suny.edu/applysuny.
  • Common App (https://www.commonapp.org) allows you to complete one main application and the supplemental sections for the colleges you are applying to.
  • MVCC and HCCC have FREE applications on their websites (do NOT use SUNY App or you will have to pay $50.00 per application!)
  • Always check college’s website to see if they offer a FREE application
  • Scholarship Information can be found in Naviance under the College tab.
  • FAFSA (https://studentaid.gov/h/apply-for-aid/fafsa) application for financial aid opens in December
  • How to find a job – visit Working Solutions (207 Genesee St #201, Utica or call them to set up an appointment (315) 793-2229) or setup an account to look at jobs online at http://www.working-solutions.org/for-job-seekers/searching-for-jobs
